Method 1: Insert the QR code as an image (recommended)

The simplest route. Works with every Word version.

Step 1: Generate the QR code

In the QR code generator above, enter a URL or vCard, adjust the branding (optional), download as PNG.

Recommendation: at least 600 × 600 pixels as source resolution so the code stays sharp when you shrink it in Word.

Step 2: Insert it in Word

1. Open Word, place the cursor where the QR code should go
2. Menu "Insert" → "Pictures" → "This Device"
3. Select the downloaded PNG file
4. Adjust the size. Rule of thumb: 2.5 to 3 cm (1 to 1.2 in) on regular paper

Step 3: Positioning

By default the QR code flows with the text. If you want to place it freely:

• Right-click the code → "Size and Position"
• "Text Wrapping" tab → "In Front of Text" or "Behind Text"
• Drag it wherever you want

Method 2: Word add-in (for many QR codes in a row)

If you regularly need QR codes in Word, an add-in is worth it.

Install QR4Office

1. Word → menu "Insert" → "Get Add-ins" (or "My Add-ins")
2. Search the store for "QR4Office" or "QR Code Generator"
3. Install it. The add-in appears as a sidebar

Use the QR code in the document

1. Place the cursor at the target position
2. Open the add-in, enter the URL
3. Click "Insert QR Code". The code is inserted as an image

Limits: most free add-ins only do static URLs. Branding with a logo, vCard format or dynamic codes are only available in premium versions or from external generators.

Method 3: Mail merge with dynamic QR codes (advanced)

If you want to send, say, 100 personalized invoices, each with a QR code leading to an individual payment page:

1. Prepare an Excel list with columns "Customer" and "URL" (= the individual QR destination)
2. In Word: "Mailings" → "Start Mail Merge" → choose the Excel file as data source
3. Build a placeholder for the QR image into the Word document, for example via a VBA macro that generates a QR code from a URL per record (Google Charts QR API or an external service)

Honestly: this is power-user territory. For most people, one QR code per template is enough, then duplicate the document. If you really need 100+ personalized codes, use dedicated bulk mailing software instead of Word mail merge.

What often goes wrong in print

The QR code gets blurry when shrunk

If you insert a small PNG (for example 200 × 200 px) in Word and enlarge it to 5 × 5 cm (2 × 2 in), the code looks pixelated. Always export at a high enough resolution (at least 600 px edge length, better 1024 px).

Word compresses the image automatically

By default Word reduces image quality for PDF export. Fix: "File → Options → Advanced → Image Size and Quality: Do not compress images in file".

Wrong print resolution

The code looks clean on screen but blurry in print. Reason: printers often render at 300 DPI, Word displays at 96 DPI. When exporting to PDF, choose the highest quality option ("Best for printing").

The position jumps while editing

If you inserted the QR code "In Line with Text" and later change text before it, the code moves. Solution: "In Front of Text" or "Behind Text" as text wrapping.

Which Word version do I need? Add-ins are available from Word 2013. Inserting images works with every version (also OpenOffice, LibreOffice).

Does this work in Word for the web? Yes, both image upload and most add-ins.

Can I build the QR code into a Word template? Yes. Save the template as .dotx with the QR image inserted. Every new document based on the template then includes the code.

What resolution does the QR code need? Rule of thumb: pixel size = print size in cm × 120 DPI × 1.5 safety factor. For a 3 cm (1.2 in) code, at least 540 × 540 px.

Can I change the QR code dynamically? With a static code (whether via add-in or external generator): no, the image is fixed. With a dynamic QR code the code points to an intermediate URL that you can swap in the dashboard. Perfect for templates that need updating over time.

The Word add-in does not work. What now? Common causes: (1) not signed in to your Office account, (2) your company admin has blocked add-ins, (3) no internet connection. Workaround: generate externally and insert as an image.

If your Word document is an invoice, combine the QR code with a payment option.
